This Privacy Policy explains how we collect, use, and protect your data when you interact with the Rippelle Discord bot and its associated services, including identity verification, roles, giveaways, scheduled posts, and other features.
2. What Data We Collect
2.1 Discord Account Data
- Discord user ID
- Discord username and display name
- Server (guild) membership information relevant to bot operations
2.2 Verification Data
When you verify your identity through Rippelle, we collect and store:
- Second Life: avatar name and UUID, linked to your Discord user ID
- Steam: Steam profile identifier (when available)
- VRChat, Roblox, Minecraft: platform identifiers (when available)
- One-time verification codes (temporary, deleted after use)
- Timestamp of verification
Cross-server recognition: your verification is shared across all Discord servers using the Rippelle bot. This means you only need to verify once. Server administrators can see your verified identity (platform name and ID) but cannot access your data from other servers.
2.3 Anti-Abuse Data
To protect communities from scams and abuse, we process:
- Alt-account detection data (linking multiple Discord accounts to the same platform identity)
- Network-wide flags when a user is marked as a scammer by a server administrator, shared across participating servers
2.4 Bot Feature Data
Depending on which features are enabled by your server administrator:
- XP and leveling: message activity metrics (message count, not message content)
- Giveaways: participation entries (Discord user ID and timestamp)
- Birthdays: month and day you provide (year is never collected)
- Tickets: ticket metadata (opener, status, timestamps); message content within tickets is handled by Discord
- Scheduled posts and RSS: content provided by server administrators, not by end users
- Reaction roles and role panels: role assignment preferences
2.5 Technical Data
- IP address when interacting with Rippelle web pages (logged temporarily for security)
- Timestamps of API requests
- Error logs related to bot operations
3. What We Do NOT Collect
- We do not read or store the content of your Discord messages
- We do not collect your email address, real name, or any real-life identity
- We do not track your browsing activity
- We do not use cookies for advertising or analytics
- We do not sell, rent, or share your data with advertisers or data brokers
4. Why We Collect This Data
Under the General Data Protection Regulation (GDPR), we process your data on the following legal bases:
- Legitimate interest (Art. 6(1)(f) GDPR): identity verification and anti-abuse protection serve the legitimate interest of server communities in maintaining safe, scam-free environments. This does not override your fundamental rights.
- Performance of a contract (Art. 6(1)(b) GDPR): processing is necessary to deliver bot features you or your server administrator have activated.
5. How We Use Your Data
Your data is used exclusively to:
- Verify and confirm your identity on connected platforms
- Assign and manage roles based on verification status
- Detect alt accounts and known scammers to protect communities
- Operate bot features (XP, giveaways, birthdays, tickets, polls, etc.)
- Diagnose and resolve technical issues
- Improve the reliability and performance of the service
6. Data Sharing
6.1 Within the Rippelle Network
Verification data is shared across Discord servers that use the Rippelle bot. This is a core feature: verify once, recognized everywhere. Server administrators can view your verified platform identity within their server's admin panel.
6.2 Scammer Flags
When a server administrator flags an account as a scammer, this flag is propagated across the Rippelle network to protect other communities. Flagged users are notified when possible and can contest a flag by contacting us.
6.3 Infrastructure
- Cloudflare, Inc. provides our hosting infrastructure (Cloudflare Workers, D1 database, R2 storage). Your data is processed on Cloudflare's global network.
- Discord, Inc. provides the platform through which the bot operates. Discord's own privacy policy governs data processed by Discord itself.
We do not share your data with any other third party.
7. Data Storage and Security
All data is stored on Cloudflare's infrastructure with encryption in transit (TLS) and at rest. We implement access controls limiting data access to authorized services only. No passwords are stored; verification relies on platform-native authentication flows.
8. Data Retention
- Verification data: retained for as long as your verification is active. Deleted within 30 days of a deletion request.
- Verification codes: temporary, automatically deleted after use or after 15 minutes.
- XP and leveling data: retained for as long as the feature is active on the server.
- Giveaway entries: deleted after the giveaway concludes.
- Technical logs: retained for up to 90 days, then automatically deleted.
9. Your Rights Under GDPR
As a data subject, you have the right to:
- Access the personal data we hold about you
- Rectify inaccurate data
- Erase your data ("right to be forgotten")
- Restrict how we process your data
- Port your data in a machine-readable format
- Object to processing based on legitimate interest
To exercise any of these rights, contact us at rippelle.sl@gmail.com. We will respond within 30 days.
You may also lodge a complaint with the Belgian Data Protection Authority (Autorite de protection des donnees).
10. Data Deletion
You can request deletion of your data at any time by:
- Using the
/verify remove command in Discord to unlink your verified accounts
- Contacting us at rippelle.sl@gmail.com with a deletion request
Upon a valid request, all your personal data (verification links, XP data, giveaway entries, and any other stored information) will be deleted within 30 days.
11. Children's Privacy
Rippelle is not directed at individuals under the age of 13 (or 16 in the EEA). We do not knowingly collect personal data from children. If we become aware that we have collected data from a child, we will delete it promptly.
12. Changes to This Policy
We may update this Privacy Policy from time to time. Changes will be reflected by updating the "Last updated" date at the top of this page. For material changes, we will provide notice through our Discord support server.
